🛠️ Contest: Build a custom agent and win a trip to San Francisco

Hi Everyone! I’m Kearsten, the Member Services Administrator at OneVision Resources! One thing I’ve learned in my role is that having the right information is only half the battle. Finding it quickly when you need it is just as important. Our team has a ton of valuable resources, but they’re spread across different places, making even simple questions more time-consuming than they should be. I decided to use Superhuman Go to turn our existing information into something smarter, simpler, and more accessible for everyone. Introducing my Member Services Knowledge Hub!

One question. Two Knowledge Sources. One Clear Answer.

Agent name: Member Services Knowledge Hub

What it does: The Member Services Knowledge Hub is a custom Superhuman Go agent that makes it easier for our Member Services Sales Team to find accurate, relevant information.

Instead of searching multiple Notion pages, SOPs, and partner-specific databases, team members can ask a question in natural language and get a clear, organized response backed by our existing documentation.

The agent connects two key knowledge sources: our standard member services processes and our partner-specific resources hub.

What Recurring Problem Does it Handle? As the member services administrator, I’m often the go-to person when sales specialists have questions about processes, membership workflows, or individual partner requirements. We have a wealth of valuable information documented, but finding the right answer isn’t always quick or straightforward.

I wanted to solve that problem without creating another complicated system for the team to learn.

The goal was simple: make our existing information easier to find, understand, and use.

What it gives me time to focus on: By helping specialists find documented answers independently, the agent can reduce repetitive questions and interruptions throughout the day. It also empowers the sales specialist to find information independently instead of waiting for someone else to point them in the right direction.

How it works:

The agent uses two connected Notion knowledge sources:

  • Member Services Core Process Page - our centralized resource for standard operating procedures, policies, membership workflows, sales and outreach processes, system guides, and training material
  • Member Services Partner Hub - our partner-specific knowledge database containing individual partner information, requirements, preferences, and relevant resources for the sales specialists

When a sales specialist asks a question, the agent searches the relevant documentation and provides an organized answer. It’s especially useful because it can reference both sources when needed.

For example, a specialist might ask:

“A client wants to pause their membership seasonally. What’s our standard process for this?”

Rather than searching separately for the pause procedure and the partner’s information, the specialist can use one agent to find the relevant guidance. The agent is instructed to prioritize documented information, distinguish standard procedures from partner-specific requirements, and provide source references whenever possible. If information is missing or cannot be verified, it should say so rather than making assumptions.

Most importantly, the agent provides information and guidance, not autonomous decisions or changes. The team remains responsible for reviewing information and taking appropriate action.

Why This Matters:

What makes this agent valuable isn’t its complexity. It’s how naturally it fits into our team’s everyday workflow.

Our sales specialists spend much of their day communicating with clients, managing outreach, and navigating multiple systems. When a question comes up, they shouldn’t have to stop what they’re doing, search through several Notion pages, or interrupt another team member to find an answer.

With Superhuman Go, the member services knowledge hub is accessible directly from the sidebar while they work.

A sales specialist can be on the phone with a client and quickly ask the agent about a membership process, policy, or partner-specific requirement without leaving their current workflow.

The same applies during daily outreach. While working in the platforms they already use, specialists can reference the agent in the sidebar to find the information they need and continue their work with minimal disruption.

Rather than introducing another platform or requiring additional documentation, this agent brings our existing knowledge directly into their workflow. It’s designed to encourage independent problem-solving, reduce repetitive questions, and promote consistent application of documented procedures.

Just as importantly, it keeps people in control. The agent retrieves and organizes information, but employees remain responsible for reviewing the guidance, making decisions, and taking action. Because the concept is simple and adaptable, other departments could create similar agents using their own knowledge bases. The goal isn’t to change how our team works; it’s to make the information they need available exactly when and where they need it.

Less searching. Fewer interruptions. More time focused on the client.

Apps and Connectors

  • Superhuman Go - Custom Agent
  • Notion - Member Services Core Processes
  • Notion - Member Services Partner Hub

How to Try It/ Recreate the Agent:

The Member Services Knowledge Hub was built using Superhuman Go’s Custom Agent Builder and connected Notion resources.

To create it for your own team:

  • Create a new custom agent in Superhuman Go.
  • Connect your team’s Notion knowledge base or any additional databases containing relevant information.
  • Add the agent instructions included in the attached template screenshot.
  • Configure the agent to prioritize documented information, distinguish general processes from team-specific requirements, and reference original sources.
  • Test the agent with questions that require information from one or multiple connected sources.

You can adapt the agent to other departments by replacing the member services knowledge sources with their own documentation. I’ve tested the agent against our existing documentation and confirmed that it can retrieve relevant information and provide actionable guidance.

Demonstration:

The accompanying screenshot demonstrates the agent operating in the Superhuman Go sidebar alongside a fictional test scenario in our existing client management platform. They illustrate how a sales specialist can ask a process-related question, receive structured guidance, and access supporting documentation without leaving their current workflow. The demonstration uses test information to protect confidential client and partner data.

Agent Template:

Below is a sanitized, reusable version of the agent instructions so others can adapt the approach to their own teams and knowledge sources.

Agent Template: Team Knowledge Hub

Purpose: You are an internal knowledge assistant that helps team members quickly find, understand, and follow approved processes, policies, and workflows. Your goal is to make existing documentation easier to access while maintaining accuracy, consistency, and human oversight.

Primary responsibilities:

  1. Answer questions using approved internal documentation.
  2. Provide clear, actionable step-by-step instructions when explaining a process.
  3. Reference the original source document and include a link whenever available.
  4. Help team members understand policies, procedures, exceptions, and escalation requirements.
  5. Identify situations requiring clarification or human approval, and encourage consistent application of the document and processes.

Knowledge Sources:

Source 1: Team Knowledge Base

  • Use the connected team’s primary knowledge base as the starting point for standard processes, policies, workflows, and training resources.
  • Search relevant sections and follow links to the original documentation.

Source 2: Team-Specific Database

  • For questions about a particular account, partner, project, or other entity, consult the relevant connected database
  • Locate the appropriate record, review it, and reference the original record whenever possible

Information Retrieval Rules

  • Use the connected knowledge search and document retrieval tools to locate and verify relevant information before answering
  • Use specific search keywords to find relevant documents
  • Follow linked resources when additional context is needed
  • Prioritize documented, current procedures over general assumptions
  • Use the primary knowledge base for standard policies and the secondary database for entity-specific information
  • When both sources are relevant, reference both and clearly distinguish general procedures from documented exceptions.
  • Never assume an exception applies universally
  • Never invent policies, pricing, approval requirements, or procedures
  • If information is missing, outdated, unclear, or conflicting, explicitly state: “Could not be verified”.

Response Format

Keep answers friendly, professional, and concise. For process questions, provide:

  • Quick answer: a direct response to the question.
  • Steps to follow: numbered instructions when applicable.
  • Important notes: relevant restrictions, exceptions, or approval requirements.
  • Source: links to the original documentation whenever available.

Boundaries and Human Oversight

  • This agent is intended for knowledge retrieval and guidance only.
  • Never create, edit, or delete records.
  • Never approve exceptions or financial adjustments independently.
  • Never modify customer accounts or operational systems.
  • Do not unnecessarily disclose confidential information.
  • Do not present general recommendations as official policy.
  • Refer situations requiring judgment, clarification, or approval to the team administrator or manager.

How to Adapt this Template:

Replace the example knowledge sources with your own team’s connected documentation and databases.

Configure the agent with the available search and retrieval tools, then test questions involving both general procedures and specific records.

The goal is to help employees find reliable information faster while keeping important decisions and actions in human hands.
